The DCX Client Services - Home Based Virtual Assistant will work as a full-time employee for a growing business based in the United States. You will get a chance to learn new skills as well as demonstrate skills you've learned in the past. You will be responsible for closely following the instructions and processes outlined by our client.

The daily tasks will vary so it will be necessary to be very flexible in this position. Other necessary characteristics of the job include having a strong attention to detail, ability to work well with co-workers, and a desire to learn new work skills.

Ideal Candidates will be:

  • Highly proficient communicator in both spoken and written English

  • Have a passion for customer service

  • Execute tasks and listen to guidance

  • Extremely detail-oriented

  • Is very intuitive with computers and learning various software

Role Details

  • Industry: Healthcare

  • Work Shift: 8:00 AM - 5:00 PM CST (USA)

  • Workdays: Monday through Friday (USA)

  • Written and spoken English skill: Very Proficient

  • Salary Range: 30,000- 37,500

Job Responsibilities

  • Executive Support (15%)

    • Completes a broad variety of administrative tasks for the COO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential;

    • Provides a bridge for smooth communication between the COO and internal departments; demonstrating responsiveness to maintain credibility, trust and support with senior management staff.

    • Manages a variety of special projects for the COO, some of which may have organizational impact.

    Software/IT Management (30%)

    • Oversight on the company’s numerous software platforms. Including updating all contact and admin information, maintaining usernames and passwords.

    • Assists the COO as project manager on numerous IT migration projects in the coming months.

    Operational Assistance (30%)

    • Solicits staff meeting agenda items to develop impactful agendas for bi-weekly meetings. Then taking notes during and circulating minutes after such meetings.

    • Acts as the “first face” of the organization for general inquiries managing the informational email inbox and responding to queries in an appropriate and timely manner.

    • Procures and maintains office supplies and equipment including technology resources such as business cards, computers, copiers and printers in conjunction with technology consultant.

    • Supports logistics for staff, board, and other events.

    • Other administrative duties and ad hoc requests as needed.

    Communications Assistance (25%)

    • Solicits articles from staff for the monthly internal newsletter.

    • Solicits ideas from staff and the industry for social media posts on speech, physical, occupational, behavior therapies, and autism.

    • Creates drafts of posts for social media.

    • Updates company website as needed.

Additional Job Requirements

  • Education: College degree in Marketing, Communications, Business Administration, or any related field.

  • Experience: 1-3 years of proven experience as a Virtual Assistant, Administrative Assistant, or other relevant administrative support experience.

  • Excellent phone, email and instant messaging communication skills.

Software that will be used

  • Proficient with Microsoft suite (Word, PowerPoint, Excel, Outlook)

  • Proficient with Google suite (Google sheets, Gmail etc.)
