Ampd is the leader and innovator in the enterprise platform space for activating and driving new and qualified retail commerce ad traffic from off-site channels like Google, Youtube, Instagram, Facebook, and others to retailers like Amazon, Walmart, and others.

Our proprietary closed-loop attribution complete + AI automation allows enterprise brands to scale qualified, incremental, new-to-brand traffic to their products and storefronts on their retailer of choice.

We are looking for an Executive Assistant to the CEO who will serve as a strategic partner, overseeing a wide range of high-level administrative and executive functions. The ideal candidate will be detailed, proactive, solutions-oriented, and comfortable working in a fast-paced environment. As an Executive Assistant, you will be the CEO's primary support, managing day-to-day activities, handling confidential information with discretion, and enabling the CEO to focus on Ampd's global vision and objectives. This role requires exceptional organizational skills, the ability to anticipate the needs of the CEO, and the capacity to manage strategic priorities seamlessly.

What You’ll Do

Calendar, Communication, and Meeting Management

  • Serve as the CEO's primary point of contact for internal and external communications, ensuring professional and prompt responses.
  • Manage a dynamic calendar, scheduling across multiple time zones and resolving conflicts independently to optimize the CEO’s time.
  • Coordinate meetings, create agendas, record minutes, and follow up on action items to ensure project or strategic progress.
  • Safeguard confidential information, managing sensitive communications with discretion and care.
  • Keep the CEO informed of high-priority matters and act as a liaison with the leadership team.

Project and Document Management

  • Oversee the flow of information in and out of the CEO's office to ensure efficient management of all correspondence, documents, and presentations.
  • Lead or assist with special projects, ensuring timely execution of initiatives that align with Ampd.io’s strategic goals.
  • Manage expense reports and financial tracking, ensuring accuracy and timely reporting for the CEO.
  • Regularly communicate with the CEO to prioritize tasks, identify potential challenges, and ensure alignment on upcoming activities.
  • Utilize project management tools such as Asana, Trello, or Slack.

Travel Management

  • Handle all travel arrangements for the CEO (and others), including international and domestic travel, visas, accommodations, and transportation.
  • Ensure seamless, personalized travel experiences by leveraging a network of high-end service providers.
  • Prepare detailed itineraries, considering accurate travel times and coordinating meeting schedules around travel.
  • Anticipate and resolve potential travel disruptions, ensuring smooth transitions between engagements.

Skills & Qualifications

  • A Bachelor’s degree or experience in business administration, project management, or related fields is required.
  • A minimum of eight years of experience in administrative support, with at least five years at the executive level supporting C-suite leaders.
  • Project management experience is necessary.
  • Expertise in managing complex calendars and coordinating global travel is required.
  • Advanced proficiency in Gmail, Google Calendar, Google Sheets, Google Docs, Google Slides and Slack
  • Proven ability to anticipate needs, solve problems proactively, and quickly navigate changing priorities.
  • Ampd needs exceptional communication and interpersonal skills and experience coordinating across teams.
  • This role mandates professionalism, discretion, and attention to detail in managing confidential information.
  • Flexibility to work outside of traditional business hours as needed.

The perfect candidate should have experience in advertising technology, particularly in ecommerce or retail media, and a background in SAAS start-ups. They should have experience scaling companies in high-growth environments and understand the challenges of guiding teams through change. This candidate should also comprehend the significance of aligning senior executives, board members, and investors and developing strategic relationships. As Ampd grows, culture becomes critical, and the EA should act as a cultural ambassador, reflecting the mission and values while assisting in team-building initiatives.
